How we set this up for you

March 2026 ยท Building a Digital Assistant, Part 7

If you've read the rest of this series, you might be thinking: "This sounds useful, but I have no idea where to start." That's normal. And that's exactly what we handle.

Here's what the process looks like when you work with us.

Step 1: Discovery call (free)

We get on a 30-minute call. You tell me what your day looks like. Not the highlight reel. The boring parts. The email sorting, the data entry, the follow-ups you keep meaning to send, the reports you dread writing. I ask questions. By the end, we both know what's worth automating and what isn't.

Not everything should be automated. If a task requires your judgment, your relationships, or your expertise, we leave it alone. We're looking for the repetitive, predictable, time-consuming work that follows a pattern. That's where AI shines.

Step 2: Workflow mapping

I document your workflows. Not in abstract terms. In specifics. "When an invoice arrives in Gmail, extract the amount and vendor name, log it in this spreadsheet, move the email to this folder." Every step, every decision point, every edge case.

This is the part most people skip when they try to set up AI themselves. They jump straight to the tool and wonder why the output is inconsistent. The mapping is what makes it reliable.

Step 3: Build

I set up your AI assistant around your existing tools. Gmail, Google Sheets, Slack, your CRM, whatever you're already using. The assistant learns your workflows, your preferences, your communication style. Everything is custom to how you actually work.

This typically takes one to two weeks depending on complexity. You don't need to be involved during the build. I'll check in with questions if something comes up.

Step 4: Training and handoff

I walk you and your team through everything. How to interact with the assistant, how to review its work, how to handle edge cases, and how to flag issues. You get documentation for everything.

The goal is for you to be comfortable running it independently. Not dependent on me for every adjustment.

Step 5: Support

After launch, things come up. A workflow needs tweaking. A new use case emerges. Something breaks. We offer ongoing support plans so you're not on your own.

Some clients want us to manage everything. Some want to run it themselves with a safety net. Both work. It depends on how involved you want to be.

What it costs

Setup starts at $1,500 for simple workflows and scales with complexity. Ongoing support starts at $200/month. Full management is $750/month and up.

Every engagement is scoped to what you actually need. No bloated packages. No features you'll never use.

Get started

The first step is a free discovery call. No pitch, no pressure. Just a conversation about what's possible for your business.
